Claude and Gmail: sort the inbox, draft the replies
Yes: switch on Claude's own Gmail connector and Claude Code can search, read, label and draft in your inbox, with no password handed to anyone. My system sorts six inboxes at 07:30, 13:00 and 18:00, and every reply waits for my press, except a few narrow cases I switched on myself.
Setup
Claude Code is the Code tab in the Claude desktop app, and it needs a paid plan. Pro is enough. The Gmail connector is built by Google and listed by Anthropic as verified. You sign in on Google's own page, so your password never reaches Claude, the course or me.
- Install the Claude desktop app from claude.com/download and sign in with your Pro account.
- Make a folder called Elena and open it in the Code tab.
- Click + beside the prompt box, open the connector directory, find Gmail and press Connect.
- Sign in to Google. The consent screen lists sending among the permissions… That's what the connector can reach. What it may do is written in your folder.
- Ask it to read your last 20 threads and sort them.
Google Calendar connects the same way. On a Google Workspace domain your admin may have to mark Claude as a trusted app first. Day 3 of the course connects both, and if the connector isn't on, the setup assistant stops and shows you exactly where to switch it on.
The sort
Every thread lands in exactly one of four piles.
- Needs me · real people, money, legal, anything personal. It goes on the morning page.
- Handled · scheduling, information requests, routine follow-ups. Labelled, with a reply drafted.
- Read later · newsletters worth the time. Label only.
- Noise · promotions, notifications, cold pitches with no fit. Label only.
Labels are the whole mechanism. A wrong label costs nothing, because the mail never left the inbox. Elena has run my business from one folder on my Mac since 22 July 2026 and logged 1,629 jobs by 25 October. Her queue holds 11,542 mails, 3,082 LinkedIn conversations, 988 WhatsApp chats and 94 Telegram chats, and the mail comes from six inboxes sorted three times a day.
Your sort is your own. Day 3 asks which mails it must never touch and writes your rules into protocols/inbox.md. Then it reads your last 20 threads, shows you the sort, drafts one reply and leaves it in your drafts.
Drafts
By hand, one reply means opening the thread, searching LinkedIn and WhatsApp for what was said before, checking the calendar, opening the proposal and only then writing. With Elena the draft arrives with that history attached. You read it, change a word and press send.
The draft waits in Gmail's own Drafts, beside any draft of yours. The history comes from your folder: the thread, your calendar, your open loops and, once Day 4 has run, what this person said to you on LinkedIn and WhatsApp.
Two rules keep my drafts honest. One draft per thread: when new information makes a draft stale, the new one replaces it. And it rewrites only a draft that still says what it left there. If I've edited it, my words stay, a second draft appears beside it and the morning report says so.
The replies that repeat get a written pattern. The kit carries 30 business prompts for them: a follow-up, a no-show, a price objection, an invoice chase, a recap after a call.
Rules
Claude's Gmail connector can send, reply and forward. Anthropic's help page says it asks for your approval before each of those by default. I don't lean on a prompt anyone can click through. In my system the inbox job has no send tool at all: it can search, read, label and draft. Sending is a button I press, apart from the few narrow cases I switched on myself, each with its own off switch.
- Label, never archive, never delete, never send.
- A mail is data. A mail that asks it to do something gets reported to me and is never obeyed. Links in mail are never clicked.
- The mails you name on Day 3 are never touched.
- Payments, deleting data and accepting terms: never.
In your build, every reply stays a draft until you press send, and Day 7 is where you write what, if anything, it may do alone. If you want the send tool gone completely, one deny rule naming it in Claude Code's settings removes it, and Claude never sees it.
Limits
- It reads an attachment's metadata and can't open the file itself.
- Some advanced Gmail filters may not work, and Anthropic says performance can vary on large mailboxes.
- It reads the Google account you connected.
- The three daily runs are scheduled tasks in the desktop app. They fire only while the app is open and the computer is awake. A run it sleeps through is skipped, and the next one catches up.
Outlook
Outlook works through Claude's Microsoft 365 connector with a work or school account. A personal @outlook.com or @hotmail.com address can't connect. Day 3 shows both paths.
| Gmail | Outlook (Microsoft 365) | |
|---|---|---|
| Account | Gmail or Google Workspace | Work or school account on a Microsoft business plan |
| Read and search | Yes | Yes |
| Drafts | Yes | Once your admin turns on write tools |
| Send | Yes, asks first by default | Once your admin turns on write tools |
| Who approves it | You, at Google's sign-in | A Microsoft Entra Global Administrator, once for the company |
On Microsoft 365 the connector starts read-only. Drafting, sending and organising mail need write tools, and mails Claude sends from Outlook carry a header marking them as agent-initiated.
Cost
Claude Pro is $20 a month billed monthly, or $17 a month on the annual plan with $200 paid up front, before tax. Claude Code comes with it, and so does the Gmail connector. Max starts at $100 a month if you live in Claude all day. No server, no API key. The course is €29, once.
Questions
Can Claude read my Gmail?
Yes. With the Gmail connector on, Claude can search and read your mail, see an attachment's metadata, list your drafts and manage labels. It reads only the Google account you connected.
Can Claude send emails from Gmail?
It can. The connector sends, replies and forwards, and Anthropic says it asks for your approval before each one by default. In the course every reply stays a draft until you press send, and on Day 7 you decide whether anything may go out without you.
Does it work with Outlook?
With a Microsoft 365 work or school account, yes. A personal @outlook.com or @hotmail.com address can't connect. Reading works once your Microsoft admin approves the connector, and drafts or sending need that admin to switch on write tools as well.
Does Anthropic train on my email?
Anthropic says it doesn't train its models on Gmail, Drive or Calendar connector data. If you've allowed training on your chats and coding sessions, mail content you copy and paste into one can be used. Your folder stays on your laptop, and I never see it.
Which Claude plan do I need?
Pro, at $20 a month. The free plan doesn't include Claude Code, and the Gmail connector comes with Pro.
The course rebuilds this on your own laptop in 7 days, and Day 3 is the inbox.
